Who we are
T8 Plant and Tool Hire Ltd is the data controller for the personal data described in this policy. You can contact us using the details on our contact page, or by email at the address shown in the footer of this site.
What personal data we collect
- Enquiry and quote details. Your name, telephone number, email address, the postcode or town of the site, and anything you tell us about the work, the machine you want and the dates you need it.
- Records of contact. Notes of calls, emails and messages between us, so we can pick up where we left off.
- Hire and account records. Where you go on to hire from us, the information needed to fulfil, invoice and insure that hire.
- Technical data. Your IP address and basic request information, which our hosting keeps in server logs for security. Where you have consented to analytics cookies, information about how you use this website.
Why we use it, and our lawful basis

How long we keep it
- Enquiries that do not become a hire: up to 24 months, then deleted.
- Hire and customer records: 6 years after the end of the relationship, to meet HMRC and contractual requirements.
- Accounting records: 6 years from the end of the relevant accounting period.
- Website enquiry records held in this site, and server logs: deleted or anonymised on the schedule above.
- Consent records for cookies: stored in your browser for up to 12 months.
Who we share it with
We do not sell your personal data. We share it only where we need to:
- Our website host and email provider, who process data on our instructions.
- Our accountant and, where required, HMRC.
- Our insurers and, where a claim arises, their representatives.
- Where we are legally required to disclose it, for example to a regulator, a court, or the police.
Where a supplier is outside the UK, we rely on UK adequacy regulations or on the International Data Transfer Agreement or Addendum to protect your information.
Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you;
- have inaccurate data corrected;
- ask us to erase your data where there is no continuing reason for us to hold it;
- object to, or ask us to restrict, certain processing;
- ask for your data in a portable format;
- withdraw consent at any time, where we relied on consent.
To exercise any of these, contact us using the details on this site. We will respond within one month. There is no charge in normal circumstances.
Complaints
If you are unhappy with how we have handled your data, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.
